How pitch hire actually makes money

A football pitch is a fixed asset with sharply concentrated demand and a booking problem that most general calendars get structurally wrong. These are the four things that decide whether a pitch centre fills its week or just its Tuesday nights.

The split-pitch problem breaks ordinary calendars

Almost every pitch centre sells the same physical space in more than one configuration. One 11-a-side pitch becomes two 7-a-sides or three 5-a-sides depending on who is booking. A wall planner handles this by trusting whoever writes on it, and a generic room-booking tool handles it by treating each configuration as an unrelated resource — which means it will happily sell you the full pitch at 8pm and a 5-a-side inside it at the same time.

The correct model is linked resources: the full pitch and its component pitches know about each other, and booking any one of them removes the overlapping options from availability. This sounds like a detail until the Saturday you have two teams and one pitch, and it is the single most common reason pitch centres outgrow whatever they started with.

Block bookings are your revenue base and your biggest leak

Season-long block bookings from teams are what make a pitch centre viable — predictable revenue on the hours that matter, sold once in August. The leak is what happens to individual weeks. A team has a cup fixture, a bank holiday falls badly, half the squad is away: they tell you they are not coming, and the slot stays blocked in the diary because releasing one occurrence of a recurring booking is fiddly.

Every one of those is a peak-price slot given away. A centre with six block-booked pitches losing two weeks each across a season is handing back seventy-plus peak hours. Recurring bookings that let you release a single occurrence back to public availability turn those into revenue with no extra sales effort.

Off-peak is not a discount, it is a different market

Weeknight evenings sell themselves. The hours nobody books — weekday mornings, early afternoons, late evenings — will not be filled by adult 5-a-side teams at any price, because those teams are at work. They get filled by different customers entirely: schools and colleges needing daytime pitch time, walking football and over-50s groups, shift workers, university societies, and corporate sessions.

Reaching those customers requires the off-peak rate to be published and bookable, not quoted on request. A school administrator comparing venues will book the one where the daytime price is visible and the slot can be reserved in two minutes.

Weather is an operational problem, not just a refund problem

Grass pitches close. When they do, the cost is rarely the refund — it is the afternoon somebody spends ringing eight teams, the ones who do not get the message and turn up anyway, and the goodwill lost with a team that drove forty minutes to a locked gate.

Closing a pitch for a date range and notifying every affected booking at once turns a half-day of phone calls into a two-minute job, and gives you a clean record of who was told and when. For 3G and all-weather surfaces the same mechanism covers maintenance closures and floodlight failures.

The wall planner could not cope with splitting the big pitch into three. We were double-booking about once a month and it always ended in an argument on a Tuesday night. Now the split is handled automatically and we sell the daytime slots we used to leave empty.

Can we charge different rates for floodlit slots?

Do you handle 3G and grass pitches differently?

Each pitch is its own resource with its own hours, surface, pricing, and closures. A grass pitch that needs a rest week and a 3G pitch that plays all winter can sit in the same calendar with entirely different rules.

Can teams pay online?

Teams pay when they book, or on a monthly schedule for block bookings. That removes the cash-at-reception problem and cuts the no-shows that come with unpaid slots.

We run our own 5-a-side leagues. Is that supported?

Yes. League fixtures book actual pitch time from the same availability as public hire, so a league night can never be sold to a casual booking by mistake.
