Sound Familiar?

Cage rental and lesson scheduling are two different businesses sharing the same four tunnels, and most facilities run them in two different systems. A coach books a tunnel for a private lesson in one calendar, walk-in rentals go in another, memberships with included cage time are tracked on a clipboard, and every January the whole thing collapses under the pre-season rush.

Built for Batting Cages & Training Centers

Features designed specifically for managing batting cage bookings and maximizing facility revenue.

Cage & Tunnel Rental

Rent each cage in 30- or 60-minute blocks. Set different rates for machine tunnels, soft-toss cages, and full turf areas.

Lessons on the Same Calendar

Private and small-group lessons consume tunnel time from the same availability as rentals, so a coach can never be double-booked against a walk-in.

Memberships with Included Time

Sell packages that include cage hours per month. Time draws down automatically as members book, with overage billed at the normal rate.

Half-Hour Slot Control

Cage rental is a 30-minute business. Set slot length, buffer time, and how far ahead people can book, per cage.

Built for the Winter Rush

January through March is most of your year. Open extra hours, add seasonal pricing, and cap how much a single family can hold at once.

Prepaid Punch Cards

Sell ten-packs and twenty-packs of cage time up front and let customers redeem them online without touching the register.

What indoor hitting facilities need that generic schedulers miss

A batting cage facility is really two businesses — hourly cage rental and coached instruction — competing for the same handful of tunnels, with almost all the revenue compressed into a four-month window. That combination breaks most general-purpose booking tools in predictable ways.

One tunnel calendar, or you will double-book a coach

The single most common failure in this business is a coach arriving for a 4pm private lesson to find a family already in the tunnel with a bucket of balls. It happens because lesson scheduling and cage rental were set up as separate systems, and nothing in either one knows the other exists.

The fix is structural rather than procedural: the tunnel is the resource, and both lessons and rentals consume it. When a coach is booked into tunnel 2, that tunnel is not available to rent for that hour, and no amount of front-desk vigilance is required to keep it that way. Any facility running more than two coaches should treat this as a hard requirement.

Thirty-minute economics change what "booking software" means

Cage rental is one of the few facility businesses where the standard unit is half an hour. That has consequences most software gets wrong. Slot lengths need to be configurable per resource, because a machine tunnel sells in thirties while a full turf area sells in sixties. Buffers matter, because a family needs a few minutes to clear out. And a booking calendar that renders hour blocks by default will show a facility half its actual inventory.

It also raises the cost of manual administration to the point of absurdity. A four-tunnel facility open twelve hours a day has ninety-six sellable slots per day. Nobody should be taking those over the phone.

  • Per-cage slot length and buffer configuration
  • Different rates for machine tunnels, soft toss, and turf
  • Revenue reporting per tunnel per hour, so you can see which cage earns

Seasonality is the whole business model

For most of North America, indoor hitting facilities earn the large majority of their revenue between January and March. That concentration means two things. First, capacity management during the rush matters more than anything you do in July — a cap on how many concurrent slots one account can hold is often the difference between serving forty families and serving eight travel-ball parents who booked every Saturday through the spring.

Second, prepaid packages are how you move revenue out of the rush and into the shoulder season. Selling ten-packs in November smooths cash flow and locks in demand, but only if redemption is self-service. A punch card that requires a staff member to look up a balance and mark it off will not get used.

Memberships work here, but only with automatic draw-down

Monthly memberships with included cage time are increasingly the model for this category, and they are attractive because they convert unpredictable walk-in revenue into a subscription. The operational catch is tracking the allowance. If a member has four included hours a month, somebody has to know how many they have used before the fifth booking gets confirmed.

Done in software, the balance draws down as bookings are made, overage bills at the standard rate, and the member can see where they stand. Done on a clipboard, it becomes an argument at the front desk in February.

We were running lessons in one calendar and rentals in another, and every January we'd double-book a coach at least once a week. One tunnel calendar for both fixed it, and the punch cards sell themselves now that people can redeem them from their phone.

Frequently Asked Questions

Common questions about batting cage booking software

Can we rent cages in 30-minute blocks?

Yes. Set slot length per cage — 30 minutes is the default for machine tunnels, and you can run 60-minute blocks on turf areas. Add a buffer between slots if you need turnaround time.

How do lessons and rentals share the same tunnels?

Both draw from the same cage availability. When a coach books tunnel 2 for a 4pm lesson, that tunnel disappears from public rental availability at 4pm. There is no separate coaching calendar to reconcile.

Can we sell memberships that include cage time?

Yes. A membership can include a set number of cage hours per month. Booked time draws down the balance automatically, and anything beyond the allowance is charged at your normal rate.

Do you support prepaid punch cards?

Sell ten- or twenty-session packages online. Customers redeem sessions when they book, and you can see remaining balances without digging through a card file.

How do we handle the pre-season rush?

Extend hours seasonally, apply peak pricing to January through March, and cap how many concurrent slots a single account can hold so one travel-ball family cannot book out every Saturday morning through April.

Can coaches manage their own schedules?

Give each coach access to their own availability and lesson bookings. They set the hours they are working; the system stops anyone from booking a tunnel they are already teaching in.

Will you raise my price?

No. We will not raise prices on customers who sign up at the current $79/mo Pro rate — even if our public pricing increases later.

Will you retire my plan?

No. We do not retire old plans. Your plan tier stays valid; we never force you onto a new tier to keep the same features at a higher price.

What does grandfathered mean?

You keep your signup rate and plan tier forever. Sign up at $79/mo Pro today and that is what you pay — always grandfathered in.
