One tunnel calendar, or you will double-book a coach

The single most common failure in this business is a coach arriving for a 4pm private lesson to find a family already in the tunnel with a bucket of balls. It happens because lesson scheduling and cage rental were set up as separate systems, and nothing in either one knows the other exists.

The fix is structural rather than procedural: the tunnel is the resource, and both lessons and rentals consume it. When a coach is booked into tunnel 2, that tunnel is not available to rent for that hour, and no amount of front-desk vigilance is required to keep it that way. Any facility running more than two coaches should treat this as a hard requirement.

Thirty-minute economics change what "booking software" means

Cage rental is one of the few facility businesses where the standard unit is half an hour. That has consequences most software gets wrong. Booking lengths need to be configurable per space, because a machine tunnel sells in thirties while a full turf area sells in sixties. And a booking calendar that renders hour blocks by default will show a facility half its actual inventory.

It also raises the cost of manual administration to the point of absurdity. A four-tunnel facility open twelve hours a day has ninety-six sellable slots per day. Nobody should be taking those over the phone.

Seasonality is the whole business model

For most of North America, indoor hitting facilities earn the large majority of their revenue between January and March. That concentration means two things. First, fair access during the rush matters more than anything you do in July — when a handful of travel-ball parents book every Saturday through the spring, dozens of other families go without, so decide your booking rules before January rather than during it.

Second, the shoulder season is where growth is. Selling tunnel time in November smooths cash flow, and it only happens if booking is self-service: a family that can see an open cage and pay for it in a minute will book one, and a family that has to call often will not.

Memberships need an allowance somebody trusts

Monthly memberships with included cage time are increasingly the model for this category, and they are attractive because they convert unpredictable walk-in revenue into a subscription. The operational catch is tracking the allowance. If a member has four included hours a month, somebody has to know how many they have used before the fifth booking gets confirmed.

Included-hours balances are not tracked in the booking calendar today, so that balance lives in whatever system bills the membership. The calendar handles the bookings themselves, including standing weekly slots for members who come at the same time every week. Kept on a clipboard, the allowance becomes an argument at the front desk in February.
